TeamManager.pro (“TeamManager.pro,” “we,” “us”) provides team-management software for youth and amateur sports organizations, including a web application and iOS and Android apps. This policy explains what information we collect through those products, why we collect it, and the choices available to you.

Who enters your information

TeamManager.pro is used by sports associations, team staff (coaches, managers, trainers), and the parents and players on their rosters. In most cases, a team’s own staff — not us — creates player profiles, enters attendance, records stats, and uploads documents. We act as the platform that stores and displays that information on the team’s behalf; the team and its association remain responsible for the accuracy of what they enter and for having the right to enter it (for example, a parent or guardian’s consent to include a player’s information).

Information we collect

Account information. Name, email address, phone number, and role (e.g. coach, parent, player) for anyone who signs in.

Roster and player information. Player names, jersey numbers, positions, photos, and — where a team chooses to record it — emergency contact details, medical notes relevant to play (e.g. an active injury), and wellness check-ins (physical, mental, sleep and energy ratings, and an optional note) that a player or parent submits.

Team activity. Schedules and event locations, attendance records, game and practice statistics, lineups, practice plans, and drill libraries.

Communications. Announcements, direct messages, and video clips sent through the app between coaches, staff, and families.

Documents and photos. Files a team uploads (forms, waivers, permits) and images attached to expenses, drills, or player profiles.

Financial records. Invoices, recorded payments, sponsorships, and budget entries a team creates to manage its own finances. Payments from families are recorded by the team by hand; we do not collect payments from families. When a team subscribes to a paid plan, card details are entered directly with our payment processor, Stripe, and never pass through or get stored on our own servers.

Technical information. Device type, app version, push-notification tokens (so we can deliver alerts you’ve opted into), and crash/error diagnostics.

Sign-in security data. Each time you sign in we record a device identifier, your browser or app user agent, and the approximate location of your connection (country, city and latitude/longitude, worked out from your IP address by our hosting provider). We use it to show you your recent sign-ins in Settings and to email you an alert when your account is used from a new device or place. Anyone who signs in with Google or Apple also shares their name and email address with us through that provider.

Assistant conversations. If you use the AI assistant, the messages you type, together with the team, roster, schedule and invoice information needed to answer them, are sent to our AI provider, Anthropic. If you connect an AI agent of your own (for example Claude, ChatGPT or Meta Muse), that agent can read and change team data with the same permissions as your account, and what it receives is governed by that agent service’s own terms.

Location, microphone, camera and Bluetooth. These are used only if you grant permission, and only for the feature that asks for it. Location is used to estimate your drive time to an event. On iPhone, the estimate is calculated by Apple Maps, so your position goes to Apple and not to us. On Android, the app sends a position rounded to roughly a city block to our server, which asks a routing provider (OpenRouteService) for the drive time; we do not store it. The microphone and your device’s speech recognition are used to dictate practice notes. The camera is used to scan documents and for the Shot Tracker. Bluetooth (iPhone) connects to shift sensors a team uses.

How we use this information

  • To provide the core functionality of the app — schedules, rosters, stats, communications, and financial tracking for your team.
  • To send transactional email and push notifications you or your team have enabled (schedule changes, announcements, invoice reminders).
  • When you upload a receipt to record an expense, the receipt image is sent to our AI provider, Anthropic, solely to extract the amount, date, and vendor so you don’t have to type them in — the image itself is not used to train any model. Messages you send to the AI assistant are sent to Anthropic to produce an answer.
  • To protect your account, including alerting you to sign-ins from a new device or place and checking that the app is genuine (Google Play Integrity on Android).
  • To maintain the security and reliability of the service, including diagnosing crashes and abuse prevention.
  • To bill the team or association for its subscription, handled by Stripe.

We do not sell your information, and we do not use player or team data for advertising.

Who we share information with

We share information only with the service providers that help us run TeamManager.pro, and only as needed to provide the service:

  • Supabase — our database, authentication, and file-storage provider, where nearly all app data lives.
  • Vercel — hosts the web application.
  • Stripe — processes team/association subscription billing. Stripe receives payment details directly; we do not.
  • Resend — delivers transactional email (invites, invoices, notifications).
  • Anthropic — processes receipt images you choose to upload, to auto-fill expense details, and the messages you send to the AI assistant along with the team information needed to answer them.
  • Sentry — receives crash and error diagnostics to help us fix bugs.
  • Apple — delivers push notifications to the iOS app on our behalf, provides Apple Maps drive-time estimates on iPhone, and provides Sign in with Apple.
  • Google — delivers push notifications to the Android app (Firebase Cloud Messaging), verifies that the Android app is genuine (Play Integrity), provides Sign in with Google, and stores our encrypted nightly backups (Google Drive).
  • Cloudflare — Turnstile, the bot check shown when you create an account.
  • OpenRouteService — calculates drive times for the Android app from a rounded position that our server forwards to it.

Within a team or association, data visibility follows each person’s role — for example, a parent can generally see their own child’s information, while coaches and team managers see the full roster. We do not share data across unrelated teams or associations.

Children’s information

TeamManager.pro is a tool for adult team staff and parents to manage a youth or amateur sports team — it is not directed at children, and we do not knowingly market it to children. A player’s profile is created and managed by their team’s staff or their own parent/guardian, not by the child. Where a player is given their own sign-in (for example, to view their own development plan), that access is provisioned by a coach or parent, not through open self-registration.

If you are a parent or guardian and believe your child’s information has been added without appropriate authorization, contact us at the address below and we will work with the team to remove or correct it.

Data retention

We retain team and player data for as long as the team’s account remains active, so that a team keeps its historical schedule, stats, and financial records across seasons. If a team or association closes its account, we delete or anonymize its data within a reasonable period, except where we’re required to keep records longer (for example, financial records for tax purposes).

Your choices and rights

  • You can review and update most of your own information directly in the app (Settings).
  • You can delete your own account from within the iOS and Android apps, or by email without the app (see Delete your account). You can also ask your team’s administrator, or contact us directly, to access, correct, or delete information about you or your child.
  • You can turn off push notifications at any time in your device settings.
  • Depending on where you live, you may have additional rights under laws like PIPEDA (Canada) or similar regional privacy laws — contact us and we’ll help.

Security

We use industry-standard measures to protect your information, including encryption in transit (HTTPS/TLS), role-based access controls, and row-level database security so a person can only see the teams and players they’re authorized to see. No system is perfectly secure, and we encourage you to use a strong, unique password and enable biometric app lock where available.

Changes to this policy

We may update this policy as the product evolves. If we make a material change, we’ll update the “Last updated” date above and, where appropriate, notify team administrators in the app.
